Distinguish a group stay from a programmed event
A group holiday, an organised retreat and an event with day visitors have different requirements. Describe the proposed use: overnight guests, daytime participants, hours, music, meals and supplier movements.
Sleeping capacity does not automatically establish event capacity. Parking, bathrooms, access, safety, noise and services may be the limiting factors. Confirm the specific operating framework with the appropriate professionals and authorities.
Assess compatibility with the home
Review neighbours, sensitive areas, furnishings, grounds and equipment. Consider bad weather: is there a suitable indoor alternative, or does the programme stop working?
Identify prohibited areas and realistic supervision capacity. A valuable or delicate home may be unsuitable for a format even when revenue looks attractive. Declining an event can be part of sound stewardship and responsible local operation.
Build a complete budget
Compare event contribution with the alternative use of the same calendar window. Include setup and dismantling days without overnight guests. Do not treat the full value of an external service as property income when part is owed to a supplier.

Assign responsibilities before selling
A programme needs an accountable operator, confirmed providers, schedules, limits and change conditions. Review contracts, insurance and permissions for the specific event. Do not assume accommodation insurance covers every proposed activity.
Separate what the property provides from what the organiser contracts. Define contacts and a response for incidents, delays and adverse weather. Client communication should describe services that are actually available.
Protect the next stay and the neighbourhood
Create an arrival, departure and circulation plan suited to the location. Hours, noise, waste and lighting need to align with applicable rules and actual operating capacity. A generic request for respect is not an execution plan.
Inspect before and after, record condition and agree handback criteria. Allow enough time to restore the home before the next reservation. Extra revenue that compromises the following stay may carry a larger hidden cost.
Start with a manageable format
If the assessment supports proceeding, choose a programme the team can deliver and measure. Record labour, costs, incidents and calendar impact before considering repetition or expansion.
Event suitability must be confirmed for each Portugal Active property and proposal. A home appearing on this website is not automatically an available event venue.
Consider a hypothetical one-day event requiring setup the day before and restoration the day after. Assess the full three-day window and the gaps it creates in the accommodation calendar. This does not mean every affected night would otherwise sell; the alternative needs its own explicit assumptions. Record the event fee, event-specific costs and assumed opportunity cost separately so the decision can be reviewed without confusing booked income with a counterfactual estimate.
