How to choose a premium property manager

The right manager must fit the home, the local operating requirements and the owner’s priorities. A persuasive presentation needs to be supported by evidence of execution and a clear division of responsibilities.

Write the owner’s brief first

Rank the outcomes that matter: family use, peace of mind, property condition, income or flexibility to sell. Treating every objective as an absolute maximum makes practical decisions about rates, reservations and works harder.

Record personal-use dates, occupancy limits, pets, events and private areas. Separate preferences from non-negotiable conditions. Ask the manager to translate that brief into workable sales and operating rules and explain where trade-offs arise.

Test the local operating coverage

Find out who inspects the home, checks cleaning and responds to a water or power failure. Ask how holiday cover works and which locations are actually serviced. A property available to book through a collection does not prove that the brand manages it directly.

Request the incident workflow: discovery, assessment, contact, spending approval, resolution and documented closure. Understanding this chain is more informative than a broad promise of round-the-clock care.

Evaluate distribution by fit

A long list of platforms says little about guest suitability or acquisition cost. Ask how photography, description, minimum stay and commercial conditions are adapted to this particular property. Discuss the effect of the owner’s calendar.

Distinguish direct sales, intermediaries and partner collections. Check rate and availability consistency, cancellation conditions and the risk of contradictory promises across channels. Exposure is only useful when information and delivery remain accurate.

Compare evidence consistently

Set any evaluation weights before reviewing proposals. A weighted score should not disguise a critical gap: missing local coverage or an unclear contract needs resolution even if the other categories score well.

Ask questions that require a real decision

What happens if you want a week already booked, the pool fails before arrival or a stay causes damage? Ask for the procedure and allocation of responsibility without assuming insurance coverage or a right to cancel.

Also ask for a recommendation the manager would decline: an improvement without a demonstrated business case, an unsuitable event or a discount that erodes contribution. Competent management includes setting limits rather than accepting every revenue opportunity.

Agree the working relationship and the exit

Confirm the point of contact, reporting rhythm, review meetings and escalation process. Clarify listing accounts, photographs, data, deposits, future stays and the final property handover in the agreement.

Use the initial assessment to test diagnostic quality. A useful answer separates observed facts, missing information and commercial assumptions. If a guaranteed result appears before those details are known, ask for the evidence behind it.
