Start with the agreement and calendar
Read notice periods, outstanding obligations, exclusivity and treatment of future bookings. Get advice on specific contractual uncertainties. Do not promise the incoming manager a start date before understanding the exit conditions.
Choose an operational cut-off and list stays crossing that date. For each, identify who collects payment, communicates with guests, prepares the home and handles complaints. Changing a brand does not automatically transfer the underlying obligations.
Map digital accounts and assets
Identify ownership of listings, domains, photographs, copy, software and contact channels. Transferability depends on contracts and platform rules. Do not assume reviews transfer with the property when the publishing account changes.
Use individual access and an agreed handover sequence. Changing passwords too early can interrupt bookings; retaining former access indefinitely creates a different risk. Give the new team only necessary access and verify revocation when the handover is complete.
Reconcile money and responsibilities
Keep guest and payment details inside authorised systems. A public checklist is not an instruction to export personal data into uncontrolled shared sheets. Share what the incoming operator needs to fulfil the agreed responsibilities within the appropriate roles and purposes.

Document the physical handover
Inspect the home, equipment, linen, supplies, keys and remotes. Record condition, quantities and outstanding issues with dated photographs. Distinguish pre-existing wear from problems identified during transition.
Collect manuals, warranties, service contacts and maintenance schedules. Test internet, heating, hot water and access systems with the relevant technicians. An agreed inventory provides a baseline and reduces later disputes.
Plan the first operating week
Confirm cleaning, laundry, pool and garden providers. Brief them on the home’s particularities and name the escalation contact for the first arrival. Verify upcoming stays and messages already sent before activating new processes.
Avoid two teams changing rates and availability simultaneously. Channel synchronisation and payment collection need a coordinated cut-over. The practical handover matters as much as the new marketing presentation.
Close the transition against objective criteria
Completion means reconciled balances, accepted responsibilities, reviewed access, a validated inventory and monitored first stays. Schedule a follow-up to settle differences instead of relying on informal goodwill.
When requesting a Portugal Active assessment, explain that the home already operates and indicate the intended transition window. This separates commercial diagnosis from handover logistics without promising a date the current agreement cannot support.
